Cancellations and refunds

What you get back depends on when you cancel. The same terms are quoted in your account before you confirm a cancellation, so there are no surprises.

Summer camps

  • Cancel on or before May 10 and we refund everything except a $25 processing fee per camp week.
  • Cancel after May 10 but at least 3 weeks before the first day of camp and we keep a 25% cancellation fee and refund the rest.
  • Cancel within 3 weeks of the first day and no refund is due.

If we cancel — because too few children book or we cannot staff a week properly, all fees are returned in full. We will also help you find another week.

Request a cancellation from your account, or email info@stem4kids.co. Refunds go back to the original payment method within 5 to 10 business days.

Payment

Camps are paid in full when you book. We do not take deposits and we do not charge your card again later without you doing something. Card details go directly to our payment processor — we never see or store the number.

Pickup

We release a child only to an adult on your pickup authorisation list, on presentation of photo ID. This applies even if the child knows the person and says it is fine. If arrangements change, call us that morning — we cannot accept it from someone at the door.

Pickup is 4:00 PM, or 6:00 PM with afternoon care. Late collection is charged at $15 per 15 minutes after 6:00, though we will always call you first.

Health and medical

Please keep an unwell child at home. Record allergies and medical conditions on your child's profile — they appear on the instructor's roster for every camp automatically. For medication that needs administering during the day, speak to us before the first morning.

We will obtain emergency medical treatment if we cannot reach you, as set out in the waiver you sign at booking.

Behaviour

We ask children to look after each other, the equipment and the space. Serious or repeated behaviour that makes camp unsafe or unpleasant for others may mean a child cannot continue, and we would refund the remaining days. This is rare, and we would always talk to you long before it got there.

Photographs

We ask for photo consent at booking. It is optional, declining changes nothing else, and you can withdraw it at any time from your account. We never publish a child's full name alongside a photograph.

Your data

We keep what we need to run camps safely — contact details, medical information, pickup authorisations, payment records. We do not sell it and we do not share it beyond the staff who need it. You can ask us for a copy or ask us to delete it.
